06 Administration

Are your internal systems supporting growth or creating bottlenecks?

Administrative problems rarely cause one big failure. They drag on everything: wasted time, missed opportunities, and an owner who burns out.

How hard is it to get these numbers?

Seven questions. For each one, pick how hard it would be to get the answer today. Then I'll email you what your answers mean and where to look first.

1. Which decisions wait on you because nobody else has the number?
How to find it

Write down the decisions you made last week: prices, schedule changes, credits, purchases. For each one, ask whether someone else could have made it if they'd had the number. The ones that waited only because nobody else had the number are handoffs to fix.

2. How many important messages or tasks fell through the cracks last month?
How to find it

Look back over the last month for emails that went unanswered, customer requests that were missed, and internal tasks that were forgotten. Count them and note what each one cost.

3. How many of your processes depend on one person?
How to find it

List the processes that depend on one person. Write down what happens when that person is sick, on vacation or gone. Estimate the disruption.

4. How much admin work lands on the people who bring in revenue?
How to find it

For one week, track how your salespeople and production leads spend their time. Work out the share that goes to admin instead of selling or building.

5. How long does it take to find a key document or a customer's file?
How to find it

Test it. Try to find a key document, a customer's file, a vendor's contact and a written procedure. Time each one and count how many people you had to ask.

6. How many steps in your routine work get done differently from person to person?
How to find it

Pick three routine processes (order entry, vendor management, customer onboarding) and write down the steps each person follows. Note the differences, the missed steps and the workarounds.

7. How much time do your team's most frustrating admin tasks cost?
How to find it

Ask your team for their three most time-consuming or frustrating admin tasks. Look for the ones that come up more than once, and add up the time they cost.

Or I check it for you

In the audit, I pull the administration numbers out of the systems you already run, talk with whoever is closest to them, and check them against your books. Many findings come with a dollar figure, and those go to the top of the list. Some don't, and I won't make one up.

Two weeks, $3,500 flat. If by the end of the first week I can't get to the data I need, I'll tell you then and refund the fee. You walk away with the build order, whether you ever hire me again or not.
